Running a business is hard work and I don’t have time to do everything on my own. Below are the resources and tools I use to keep me motivated and productive. On top of that, I can’t do all the things so these tools help me run my business on autopilot with peace of mind.

Protect your website and your business

When I first started my business, I was worried about protecting it. I knew I wanted to do this for a long time so I made sure to research contracts and what I needed to do to protect my business and personal life. Having everything in place protects you AND your client. It spells out exactly what work you provide when it’s due, how to contact each other, and more. 

After researching, I decided to buy templates because I wasn’t a lawyer and wanted to be 100% protected. That’s when I found The Contract Shop. It’s run by a lawyer specifically for online businesses.

Dubsado

Book all your clients on autopilot

As I’ve grown my business, my tasks have grown. I’m juggling client projects, YouTube videos, Instagram, blog posts, and more! I had to find a way to take myself out of some admin tasks. That’s where Dubsado comes in. 

Dubsado is a project management tool that helps you with your client workflow. I used to use Asana for client management, but it’s not automated like Dubsado. With Dubsado, you can create a workflow to automatically start when a potential client fills out an application or books a discovery call. You can automatically send emails, proposals, contracts, and invoices. You can also use Dubsado to communicate and hold all your project assets. There’s even a client portal.

I like to use Dubsado for onboarding clients. When I start my project, I like to use Asana to assign tasks to my clients.

Stay on top of your business and create systems that work for you

I cannot live without Asana. It holds all my systems and processes in place. I like to use it to manage all my content creation, keep up with daily, weekly, monthly, quarterly, and yearly tasks. I use it to keep up with client projects and communicate with clients. My whole business is in Asana.

Google Suite

All your office needs in one

Another thing I can’t live without is Google Workspace. With Google Workspace, you can use your business email. Your email will be @yourcompany.com, so my email is [email protected]. I basically replaced Microsoft Office with Google. It’s just very convenient to have everything on my Google Drive. 

I use Google Docs to write website copy, blog posts, scripts, research keywords, and more. I also like to send files to my clients using Google.

mailerlite

Email marketing made easy

I’ve tried a few email marketing platforms, but I’ve been using MailerLite for 3+ years. I like it because it’s easy to create emails that fit my brand and create templates. I’m sure every email platform is easy now, but when I started sending emails 5 years ago, it wasn’t. 

My favorite thing about MailerLite is that it’s so easy to create email automation. This is important for creating email courses and sending freebies.

YouTube x Video

TubeBuddy

Everything you need to optimize your YouTube videos

If you need help researching keywords and finding topic ideas your audience will love, then you need to try TubeBuddy. I use it to research and plan all my YouTube videos. It helps me look at what other YouTube creators are doing, what keywords people are searching for, what tags I can use on my videos, and it also has a checklist to show you how you can optimize your video. If you’re trying to grow on YouTube, then you need TubeBuddy.

Repurpose your videos to other platforms

If you want to repurpose your videos to other platforms like Instagram then wave.video is awesome. I like to use it to create IGTV or now Instagram Videos. I use it to edit snippets of my YouTube video and add a background with captions. You can also create a cover photo from the video.

I’m pretty lowkey when it comes to creating my videos. I don’t like setting up or taking down equipment so I have a lazy setup. Here are the tools I use for my videos:
